Importing Tournaments and Results

Bring tournaments, the players in them and historical results into a league from one spreadsheet, with the members they need created along the way.

The tournament import brings tournaments into your leagues from one XLSX workbook or CSV file: the schedule, the players registered for each, and the results of games already played. Members the file names who are not in the club yet are created on the way.

Only adding people to the roster? Use the members import instead, which needs nothing but names and emails: see Importing Club Members.

Before you start

  • You must be an owner or admin of the club.
  • The club and the leagues the tournaments belong to must already exist.
  • Each player row needs enough to tell who it is: an email, a name, or a club member id.

Open the tournament import

  1. Open your account menu and select Import, or go to /account/import.
  2. Under What are you importing?, choose Tournaments and results.
  3. Choose the club.

The import lives in your account rather than on a club page because you choose the club as part of it.

Download a template

On the Upload step, download the template as XLSX or CSV. Both come from the app, so they always match the fields it reads. Preparing Tournament Import Files explains every column.

  • XLSX keeps Members, Tournaments and Players on separate sheets.
  • CSV is one flat file, one row per player, with the tournament's fields repeated on each row. Most other apps export this way.

The four steps

  1. Upload: choose Tournaments and results, the club, and the file.
  2. Review: the tournaments and members found in the file. Each tournament gets a league, picked from its date; change it per tournament, or use Apply to all. Fix anything listed under Issues before going on.
  3. Map Players: confirm which club member each player row belongs to. Reviewing Player Matches and Historical Results covers this step.
  4. Confirm: check the counts, then select Import club data.

What gets created

  • Tournaments in the leagues you chose.
  • The players in each tournament, connected to their club members.
  • Results, for a tournament whose player rows carry finishing positions. It is created as finished, with its winner and places.
  • Club members for people in the file who are not in the club yet. They follow the same rules as the members import: with an email they are invited, without one they join as guests, and invite emails go out in batches.

A tournament imported before, with the same tournament_key, is recognised and skipped, so importing an updated file does not create it twice.

What is not imported

  • New clubs or leagues.
  • Tables or seating.
  • Blind structures and live clock state.
  • TV screens.
  • Game admins.

After the import

The last step shows Import completed and the tournaments that were created. From there you can import another file, or open the club and check a few of the imported tournaments and the league standings.
