Importing Club Members and Tournaments

How to import a spreadsheet of club members, tournaments, and tournament player rows from the account import page.


What the import tool is for

The import tool helps club owners and admins move spreadsheet data into The Club House. It can create club members, tournaments, and tournament player rows from one XLSX workbook or one CSV file.

Use it when you already have a club and league set up, but your member list, tournament schedule, or historical results still live in a spreadsheet.

Before you start

  • You must be a club owner or admin.
  • The destination club must already exist.
  • The destination league must already exist.
  • Your file should include enough player information to match each tournament row to a club member.

Where to find the import tool

  1. Sign in to The Club House.
  2. Open Account.
  3. Select Import, or go directly to /account/import.

The import lives in Account because you choose the destination club during the import. It is not tied to one club page until you select the club in step 1.

Download a template

On the Upload step, use the inline XLSX or CSV template links. These generate the current template from the app, so they stay aligned with the import fields the system expects.

  • Use XLSX if you want separate sheets for members, tournaments, and players.
  • Use CSV if your source system exports one flat file where tournament fields repeat on each player row.

The four import steps

  1. Upload - choose the club, choose the league, and upload one spreadsheet.
  2. Review - check the tournaments and club members detected in the file.
  3. Map Players - confirm which club member each tournament player row belongs to.
  4. Confirm - commit the import and review what was created.

What gets created

  • Club members for people in the file who are not already in the selected club.
  • Tournaments in the selected league.
  • Tournament player rows connected to the mapped club members.
  • Historical results when player rows include positions.

Imported members with an email address use the normal club invite flow. The invite email is sent by the existing club invite email webhook when that webhook is configured and enabled. No-email guest members are created without an email invitation.

What does not get imported

  • New clubs or leagues.
  • Tables or seating assignments.
  • TV device state.
  • Live timer state.
  • Game admin assignments.

After the import completes

The final screen changes to Import completed and shows the tournaments that were created. From there, you can import another file or open the club and spot-check the imported tournaments.
