Merging a Guest into a Club Member

How to transfer a guest player's history into an existing club member, and when tournament conflicts can block the merge.

When would you need to merge?

Sometimes the same person appears in your club twice β€” once as a no-email guest (tracked before they joined The Club House) and once as a full member (after they created an account). A merge lets you combine those two records into one, transferring all history from the guest to the member.

  • You added someone as a guest before they joined The Club House, and they are now a club member.
  • You tracked results under a guest name, and the same person later created an account and joined the club.
  • You have a duplicate entry for the same player and want to clean it up.

What gets transferred

All tournament participation, results, and activity recorded under the guest profile in this club is moved to the target member. The guest record is then permanently removed from the club roster.

  • Tournament entries and results
  • League points and standings contributions
  • Activity history within this club

How to run a merge

  1. Go to Members in your club.
  2. Find the guest player β€” they will have a GUEST tag and no email address.
  3. Click the Β·Β·Β· menu and choose Merge player.
  4. Step 1 β€” Target: search for and select the club member to merge the guest into.
  5. Step 2 β€” Review: confirm the guest and target member shown side by side. Check the merge summary for any conflicts.
  6. Click Merge to finalise.

Blocking conflicts

A merge is blocked if both the guest and the target member participated in the same tournament. The platform cannot hold two separate results for the same player in the same event, so the conflict must be resolved before the merge can continue.

When this happens, the review screen shows how many tournaments are blocking the merge. Click the info icon next to the count to see the full list of affected tournaments.

  • You need to remove one of the two players from each blocking tournament before the merge can proceed.
  • This is done from the tournament player list, not from the Members page.
  • Once all conflicts are cleared, return to the merge flow and try again.

This action cannot be undone

Once a merge is confirmed, the guest record is permanently removed and all history is transferred to the target member. There is no way to reverse a completed merge. Review the source and destination carefully on the review screen before clicking Merge.

Who can merge players?

Only club owners and admins can access the Merge player option. Regular members do not see this action in the member menu.
